Responsibilities
_Position Summary_
With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the Department of Orthopaedics. Secretary is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures and practices of the University, Department of Orthopaedics and Section of Orthopaedics.
_Specific Responsibilities_
Administrative Duties:
Provides administrative assistance to faculty member.
Completes factual reports for division.
Keeps administrative calendar.
Compiles reports and correspondence.
Performs transcription of dictation.
Types abstracts and manuscripts.
Maintains files and office supplies.
Composes, types and signs non-routine correspondence.
Supervises file clerk and student clerks.
Clinical
Responsibilities:
Scheduling - Surgeries and Appointments
Take accurate information from physicians and Nurse Practitioner to complete paperwork.
Make sure appropriate surgery confirmation information and pre-operative date have been set.
Schedule appropriate testing and post-operative care for patient.
Provide notification to appropriate places, i.e patients, Operating Room, Admitting Office.
Schedule follow-up testing and appointments for patients.
Medical Chart Maintenance
Pull and prepare charts for clinic, making sure all forms and information are available.
File medical records, letters, lab information into medical chart.
Make sure x-rays, MRI-Bone Scan information is available for clinic.
Insurance
Attach insurance information to patient's chart - fill out demographic and chart information.
Make insurance referral related phone calls and inquires on Quick Link.
Copy surgical billing forms, attach operative notes and registration forms and send to Billing Office.
Phones
Provide administrative and clinical phone triage.
Other duties include: mailing, faxing and copying; obtaining test results and tracking X-rays, MRIs, CT Scans and Bone scans.
_Qualifications_
Two years of post high school education in secretarial studies or the equivalent; at least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation; or equivalent combination of education and experience. Advanced secretarial skills.
