The role involves maintaining a welcoming lobby, handling phone calls, scheduling appointments, and assisting with overall office operations.
This is a fully-onsite role Monday-Friday.
Key
Responsibilities:
Ensure the quality and format of correspondence, reports, and proposals through efficient word processing.
Operate the telephone switchboard, greet and direct visitors to designated areas.
Keep office spaces and conference rooms orderly and clean.
Schedule appointments, meetings, and manage Outlook calendars.
Manage incoming and outgoing deliveries and handle mail distribution.
Create various documents from different sources.
Enter and maintain information in databases related to proposals, contracts, and submittals.
Coordinate travel arrangements for management.
Issue checks for project expenses and prepare expenditure requests for staff memberships.
Conduct new employee orientation and assist with onboarding duties.
Manage and promote employee programs, including social and community engagement activities.
Supervise the supply room and print room, ensuring the timely ordering of supplies.
Handle various other administrative tasks.
